National ID vault
Understanding the secure document vault
To protect your clients' privacy, all National ID images are stored in a secure Vault.
Think of this like a physical safe in your office. Even though the safe is in the building, no one can see what's inside unless they have the specific combination to open it. In this system, you (the agency) hold that combination.
Permission required
To access this section, employees must have the "View national ID" permission. See Understanding permissions for more details. Without this permission, the National ID tab in Settings will not be visible.
How the vault works
- Locked by default: when you log in, the Vault is closed. You cannot see any National ID images.
- The master password: your agency has one special password used to open the Vault. This password is the "key."
- Local access: unlocking the vault only opens it for you, on your current device. It does not unlock it for other employees or on your other devices. Each user must enter the password individually to gain access.
- Temporary: once you enter the password, you can view ID images until you lock it again or close your browser.
Critical warning
Do not forget the vault password.
Because this system is designed to be end-to-end encrypted, we cannot reset this password for you.
If you lose the password, the Vault cannot be opened, and all ID images inside will be lost. You would have to create a new password and start over.
Unlocking the vault
To view client IDs, you must first unlock the vault.
Navigate to the Settings page and select the National ID tab.
Check the status indicator. If it shows Red (Locked), click the Unlock vault button.
Enter your agency's Vault password.
Click Unlock vault.
The status will turn Green (Unlocked). You can now go to any reservation or client profile and view the ID images.
Locking the vault
For security, strictly follow these best practices:
- Lock it when done: go back to Settings and click Lock Vault when you are finished viewing documents.
- Don't share carelessly: only share the Vault password with employees who actually need to see IDs.
Return to the National ID tab in Settings.
Click the Lock vault button. The Vault is now sealed, and images are hidden again.
